Last updated: 13 August 2026

This policy explains what information Pen Scholar collects when you use our website or services, how we use it, who we share it with, and the choices you have. If anything here is unclear, message us on WhatsApp and we’ll explain it in plain terms.

1. Introduction

Pen Scholar (“we”, “us”, “our”) provides academic coaching, editing, and feedback services to students, researchers, and professionals. This Privacy Policy applies to information collected through our website, WhatsApp, email, and any other channel you use to contact us.

By using our website or services, you agree to the collection and use of information as described in this policy.

2. Information We Collect

We collect information you provide directly, such as when you request a quote, message us, or place an order:

  • Contact details - name, email address, phone/WhatsApp number.
  • Project details - academic level, subject area, deadline, approximate length, and the documents or briefs you share with us.
  • Payment information - handled through third-party, PCI-compliant payment processors. We do not store full card numbers on our own systems.
  • Communications - messages you send us via WhatsApp, email, or our contact form.

We also collect limited technical information automatically, such as browser type, device type, and general usage patterns, to help us keep the website working correctly.

3. How We Use Your Information

  • To match you with a suitable specialist and deliver the service you’ve requested.
  • To calculate and send you a quote.
  • To process payments for confirmed orders.
  • To respond to questions, support requests, and feedback.
  • To improve our services, communications, and website.
  • To meet legal or regulatory obligations where applicable.

4. How We Share Your Information

We do not sell your personal information. We share it only in these situations:

  • With your matched specialist - limited to what’s necessary to complete your project brief.
  • With payment processors - to securely process any payments you make.
  • With service providers who help us operate the website and communications (e.g. hosting), under confidentiality obligations.
  • Where required by law - if we’re legally required to disclose information to a competent authority.

5. Your Academic Work

Any brief, draft, or document you share with us is used only to deliver your specific project. It is not resold, reused for another client, or published anywhere, and only the specialist assigned to your project can access it.

See our Academic Integrity FAQ for how this fits into the coaching-and-feedback model described on our How It Works page.

6. Cookies & Website Technologies

Our website may use small, essential cookies to remember basic preferences (such as whether you’ve dismissed a notice) and to understand general, aggregated usage of the site. We do not use cookies to build advertising profiles about you.

7. Data Retention

We keep your information for as long as needed to deliver your project, respond to related questions afterward, and meet any legal or accounting obligations. You can ask us to delete information that is no longer needed at any time -- see Your Rights below.

8. Data Security

We use encrypted communication channels and restrict access to your information to the people who need it to deliver your service. No method of transmission or storage is perfectly secure, but we take reasonable, industry-standard steps to protect your data.

9. Your Rights & Choices

Depending on where you’re located, you may have the right to:

  • Ask what personal information we hold about you.
  • Ask us to correct inaccurate information.
  • Ask us to delete your information, subject to any legal retention requirements.
  • Withdraw consent to future communications at any time.

To exercise any of these, message us on WhatsApp or email contact@penscholar.com.

10. International Data Transfers

Because we work with students and specialists in different countries, your information may be processed outside your home country. Where this happens, we take steps to keep it protected consistent with this policy.

11. Age Requirements

Our services are intended for users aged 18 and over, or younger users with the involvement of a parent, guardian, or institution. We do not knowingly collect personal information from children without appropriate consent.

12. Changes to This Policy

We may update this policy from time to time. If we make material changes, we’ll update the “Last updated” date at the top of this page. Continued use of our services after changes take effect means you accept the updated policy.
